Everyone on it gets a private page showing their place, and you offer slots with a hold. ## A waitlist that answers ‘any space yet?’ for you Keep one standing list. Everyone who joins gets a private page showing their place, so the messages asking where they are stop. When a slot opens, offer it with a hold and see the answer. Sign in with a passkey. For tutors, personal trainers, dog groomers and dog trainers. A position page as a family sees it. It updates itself; contact details never show here. ### Three steps 1. **Share the join link or QR.** People add their name, a phone number or email, and who the place is for, then save their own position link. 2. **Everyone sees their place.** Their page shows the current order and updates itself. You can move anyone up or down. 3. **Offer a slot when one opens.** The place is held for 48 hours. They accept, keep their place, or leave the list on the same page, and you see the outcome. Waitkeep does not book sessions, take payments or promise anyone a place. The details, including what is stored and for how long, are on [how Waitkeep works](https://waitkeep.com/how-it-works/) and the [privacy page](https://waitkeep.com/privacy/). There are free [printables](https://waitkeep.com/printables/) for a front desk too. --- # How the waitlist, positions and holds work, Waitkeep URL: https://waitkeep.com/how-it-works/ Last reviewed: 2026-10-28 > How a place on the list is decided, how the pro moves people, how an offer is held and answered, and what the list never does. ## How the list, positions and holds work The pro keeps one standing list. Each person who joins gets a private position page that shows their current place. When a slot opens the pro offers it, the place is held for a set time, and the person answers on the same page. These are the rules the server follows, in order. Last updated 28 October 2026 ### The rules, in the order you meet them 1. **The pro signs in with a passkey.** No password and no email address. The device keeps the private key behind a fingerprint, face or screen lock; the server keeps only the public half. Up to 10 passkeys per account, plus a one-time recovery code shown at sign up. 2. **Joining.** A family or client opens the list's join link or QR code, gives the adult's name, a phone number or email address, and who the place is for as a nickname, initials or a pet name. The page then shows a private position link once, with Copy. That link is the only way back to the position page, so save it. 3. **Your position.** Your number is 1 plus everyone on the same list who is waiting or has an open offer and sits before you. People who have a place, have left or were taken off never count. A new person joins at the end, in the order they joined. 4. **The pro may change the order.** The pro can move anyone up or down, for example for a sibling already on the books. The position page says: Your position on the list. The pro may change the order; this page always shows the current one. The pro's own actions on your place are listed on your page with their dates: moving you, making you a new position link, and restoring a deleted list. 5. **Offers.** When a slot opens the pro taps Offer, names the slot (such as Tuesdays 16:00) and sends the prepared message from their own phone.Waitkeep never offers the next person by itself. One person has at most one open offer at a time; a list can have several. 6. **How long a place is held.** 24, 48 or 72 hours, chosen per list (48 by default). The hold is that many hours of elapsed time from the moment of the offer, so 48 hours across a clock change is still 48 hours. The end of the hold is shown in your own time zone with its name, such as BST. 7. **Answering.** On the position page: Accept takes the slot and leaves the list. Not this slot, keep my place puts you back at the same place. Remove me takes you off the list. Take my name off the list, at the foot of the page, leaves the list at any time. 8. **When a hold runs out.** With no answer by the end of the hold, the offer ends, you keep your place, and the pro sees one missed offer next to your name. An answer that arrives after the end is refused with: This hold has ended, your place on the list is kept. 9. **What the pro hears.** Every answer and every ended hold appears in the pro's Outcomes strip. With a confirmed email address the pro also gets one short email per offer. Families never get email from Waitkeep. 10. **Limits.** Up to 3 lists, 50 people waiting on each and 6 questions on the join form. At the limit the join page says the list is not taking new names right now, and everyone already on it keeps their place. 11. **When the server is busy.** The site runs within a free hosting allowance with daily limits. When one is reached the page says saving is paused for now and keeps what you typed on your device. ### Worked example A tutor's list fills one morning: A joins at 09:00, B at 09:05 and C at 09:10, so their positions are 1, 2 and 3. C has a sibling already in a group, so the tutor moves C above A. Now C is 1, A is 2 and B is 3. A Tuesday slot opens and the tutor offers it to A. A is still number 2 while the offer is open, because an open offer still counts. A accepts, so A has a place and leaves the count: C is 1 and B is 2. The hold across a clock change: an offer made at 18:00 on Saturday 28 March 2026 in London with a 48 hour hold ends at 19:00 BST on Monday 30 March 2026. The clocks went forward on 29 March, so the local time moves by an hour while the hold is still exactly 48 hours. ### What it is not - Not booking and not a calendar: it keeps the order of the list and the offers, and the pro arranges the session itself. - Not payments: no prices, deposits or invoices pass through it. - Not a promise of a place: a position is the pro's current order, and the pro may change it. - Not a messaging service: the pro sends offers from their own phone or email, and families get no email from the site. - Waitkeep is not affiliated with any booking platform, tutoring agency, training franchise or grooming chain. --- # Questions about the waitlist and position pages, Waitkeep URL: https://waitkeep.com/faq/ Last reviewed: 2026-10-28 > Answers about Waitkeep: how positions are decided, holds, missed offers, what families see, lost links, limits, export and deletion. ## Questions about the list and position pages Positions, holds, links, limits and your data, answered plainly. The rules themselves are on [how it works](https://waitkeep.com/how-it-works/). ### Frequently asked questions **How is my position decided?** Your number is 1 plus everyone on the same list who is still waiting or has an open offer and sits before you. People who have a place, have left or were taken off never count. A new person joins at the end, in the order they joined. **Can the pro move me?** Yes. The pro may change the order, for example for a sibling already on the books. Your position page always shows your current place, so open it again rather than relying on an old number. When the pro moves you yourself, the page says so, with the date; when they move someone else, your number simply updates. **What happens if I miss an offer?** If the hold ends before you answer, the offer ends and you keep your place on the list. The pro sees one missed offer next to your name and may offer you another slot later. **How long is a place held?** 48 hours unless the pro chose 24 or 72 hours for the list. The hold is exact elapsed time from the offer, so a clock change does not shorten it. If the pro changes the list's hold length, it applies to new offers; an open offer keeps the end time it was sent with. The end is shown in your own time zone with its name. **Does Waitkeep email the families?** No. Families never get email from Waitkeep. The pro sends each offer from their own phone or email with a prepared message, and the family answers on their position page. **Can I have more than one list?** Yes, up to 3, for example one per service or one per day of the week. **What does a family see?** Their own position page only: the list name, their number, the total waiting if the pro shows it, their status and any open offer with its slot and hold end. They never see anyone else on the list, and they never see the contact details they gave. **Can I put the form on my own site?** Yes, as a link and a QR code: copy the join link or the link and QR block onto your site or a poster. The form itself cannot be embedded inside another site; it always opens on its own page. **I lost my position link** Ask the pro. They can reissue your link from your entry on their list and send the new one to you. The old link then says it was replaced, your place on the list does not change, and the new page shows the date the pro made it. **What data is stored?** For each person on a list: the adult's name, a phone number or email address, who the place is for as a nickname, initials or a pet name, any answers to the pro's questions, the status and what happened to each offer. The pro's notes and tags are private to the pro. No date of birth, school or full name of a child is ever asked for. The privacy page lists everything. **How do I delete everything?** On the account page, Delete my account signs you out everywhere and stops every link at once. Sign in within 7 days to cancel; after that every list and everyone on it is deleted for good. A family can take their own name off a list at any time with Withdraw on their position page. **Can I export my list?** Yes. Download everything on the account page gives one JSON file with your lists, the people on them, offers and history, on every plan. There is also a CSV download of each list in position order. **What happens when the free list is full?** A list holds 50 people waiting or with an open offer. At that point the join page says: This list is not taking new names right now. Everyone already on the list keeps their place and page, offers still work, and the form opens again as soon as fewer people are waiting. **What if I lose the device with my passkey?** A synced passkey is on your other devices already. Otherwise sign in on another device you added, or use your recovery code on the recovery page to add a new passkey. You can add up to 10 passkeys. **Does it work offline, and can I install it?** The information pages open offline once you have visited. The list and position pages need a connection; when it drops, the page says so, and the join form keeps what was typed on the device when the browser allows it. On an iPhone or iPad, open the Share menu in Safari and choose Add to Home Screen; other browsers offer Install in the menu. **Is Waitkeep part of a booking system?** Waitkeep is not affiliated with any booking platform, tutoring agency, training franchise or grooming chain. It keeps a waitlist and offers; it does not book sessions or take payments. --- # About the standing waitlist with a position page, Waitkeep URL: https://waitkeep.com/about/ Last reviewed: 2026-10-28 > What Waitkeep is: one standing waitlist for a small practice, a private position page for each person on it, and offers held from your phone. ## About Waitkeep A small site for a pro whose week is full: one standing waitlist, a private position page for everyone on it, and offers held until they are answered. ### Why it exists A tutor, personal trainer, dog groomer or dog trainer with a full week hears the same question every few days: any space yet? The answer usually lives in a notes app, a spreadsheet or a pile of messages, and it is easy to forget who asked first. Waitkeep keeps that list in one place, in order, and gives each person on it a page that answers the question for them. Their number updates as the list moves, so the messages stop. When a slot opens, the pro taps Offer, names the slot and sends a prepared message from their own phone. The place is held for a set time, the person accepts or declines on the same page, and the pro sees the outcome straight away. Nothing is offered automatically: the pro decides who is next. ### How it is built The pages are static files. A small server keeps the lists, the people on them and the offers in one database on Cloudflare. The pro signs in with a passkey, so the site never holds a password, and families need no account at all. Every link is a long random secret, and the database keeps only a scrambled form of it, so a copy of the database would not open a single position page. It asks for as little as it can. Families give an adult's name, one way to reach them, and who the place is for as a nickname, initials or a pet name. It never asks for a child's full name, date of birth or school, and refuses questions that would. Contact details are seen only by the pro. There is no advertising, no tracking script and no data shared for marketing. ### Who it is for Solo tutors, personal trainers, dog groomers and dog trainers, and small practices like them, who keep a standing list of people waiting for a regular slot. It suits a list of a few names as well as a long one. ### What it is not It is not booking, a calendar or a way to take payments, and it never promises anyone a place: a position is the pro's current order. It does not email families, ever. Waitkeep is not affiliated with any booking platform, tutoring agency, training franchise or grooming chain. ### Install it On a phone it can sit on your home screen like an app. On an iPhone or iPad, open the Share menu in Safari and choose Add to Home Screen. On other browsers, use Install in the menu. ### Contact Questions and problem reports go to socialreminderinfo@gmail.com. A report that names the page and what you pressed is the quickest to fix. --- # Privacy: what is stored, where and for how long, Waitkeep URL: https://waitkeep.com/privacy/ Last reviewed: 2026-10-28 > Exactly what Waitkeep stores for pros and for the people on their lists, where it is kept, for how long, and how to delete all of it. ## Privacy: what is stored, where and for how long Exactly what Waitkeep stores for pros and for the people on their lists, where it is kept, for how long, and how to delete all of it. Last updated 28 October 2026 ### Where it is kept Accounts, lists, the people on them and offers are kept in one Cloudflare D1 database that belongs to this site. Cloudflare chooses where the database lives; the region is not pinned, so it may be outside your country. The pages themselves are static files served by Cloudflare Pages. ### What is stored for an owner - A random account id, the account name you chose for your passkey manager, and when the account was made. - For each passkey: its public key, its id, a signature counter, the name you gave it and when it was added and last used. Never a fingerprint, a face or any biometric data: those stay on your device. - A scrambled form (SHA-256) of your recovery code. The code itself is shown to you once and not kept. - For each signed in device: a scrambled form of its session id, and when it was made, last used and when it expires (90 days after the last use). - Your email address, only if you add one, used only to tell you how a family answered an offer. Nothing but a confirmation link is sent to it until you open that link. It is the one place an email address of yours is ever stored. - For each list: its name, the note for families, the questions on the join form, the hold length, whether the total is shown, open or closed, and its time zone. ### What is stored for the people on a list - The adult's name, and a phone number or email address. Only the pro sees these; they never appear on the position page. - Who the place is for, as a nickname, initials or a pet name, and the answers to the pro's questions (at most 2 KB). - Their place in the order, status (waiting, offered, placed, left or taken off), the number of missed offers, and a history of what happened and when. - Each offer: the slot name, when it was made, when the hold ends, and the answer. - The pro's private note and tags. These are never shown to the family. - For the position link, the join link and the pro's calendar feed: only a scrambled form (SHA-256) of the secret. The join link and the feed also keep a sealed copy that only this server can open with its own secret key, so the pro can copy them again. A position link keeps such a sealed copy only so that a join sent twice gets the same link back; the copy is dropped when the pro replaces the link. When a link is replaced, the scrambled form of the old secret is kept so the old link can say it was replaced, and it is deleted with the list. The join form asks who a place is for as a nickname, initials or a pet's name only, and refuses a full name there. The pro cannot add a question whose wording asks for a name, surname, date of birth, birthday, school, address, street or postcode, including spaced or disguised spellings; the server answers Waitkeep does not collect that about a child. Answers to the pro's other questions are checked only for phone numbers and email addresses, so please do not type a child's full name into them. ### Limits on how fast requests come To stop a join link being flooded, the server counts requests per network address in hourly buckets. The address is stored only as a keyed scramble that cannot be turned back into the address, and each bucket is deleted after 2 hours. Network addresses are never written to logs. ### How long it is kept - Your account, lists and the people on them: until you delete them. - Someone who left a list or was taken off: deleted 90 days after. - A deleted list: 7 days, while it can be restored, then deleted for good with everyone on it. - A deleted account and everything in it: 7 days, while you can sign in and cancel, then deleted for good. - Sessions: until 90 days after the last visit on that device, or until you sign out. - Passkey sign in requests: 5 minutes. Email confirmation links: 24 hours. Rate limit buckets: 2 hours. Email records: 30 days. ### What stays on your device What you type into the join form, and the position link the server sends back, are kept in your browser's local storage under keys beginning with `standinglist` until you press I have saved it after joining, so a dropped connection can be retried. If the browser blocks or cannot read that storage, the page says so and nothing is kept. The secret part of a link sits after the # sign, which browsers do not send to any server in the address. ### How to see and delete it On your account page, Download everything gives one file with all of it. Delete my account removes everything after the 7 days above; you can also take single people off a list and delete single lists. A family can take their own name off a list at any time with Take my name off the list on their position page. Requests by email go to socialreminderinfo@gmail.com. ### Cookies One cookie, and only for pros who sign in: a session cookie that keeps you signed in for up to 90 days. It cannot be read by page scripts and is never sent to another site. Families get no cookie. ### Page counts Visits may be counted by Cloudflare's own page counter, which sets no cookie and records that a page was opened, never what you typed. There is no other analytics. ### Payments No paid plan is offered at present; if one is added, this page will describe it. ### Email Only pros can receive email, only at an address they added and confirmed, and only to say how an offer was answered: one short email per offer, within a small daily allowance for the whole site. Families are never emailed. Emails carry no tracking images. ### Typeface The headings use an open source typeface under the SIL Open Font License 1.1, served from this site. The licence is at [/fonts/OFL.txt](https://waitkeep.com/fonts/OFL.txt). ### Changes and contact If this policy changes in a way that affects what is stored, the change will appear on this page. Questions go to socialreminderinfo@gmail.com. --- # Terms of use for the waitlist, Waitkeep URL: https://waitkeep.com/terms/ Last reviewed: 2026-10-28 > The terms that apply when you use Waitkeep: what the list can be relied on for, your content, acceptable use and support. ## Terms of use The terms that apply when you use Waitkeep: what the list can be relied on for, your content, acceptable use and support. Last updated 28 October 2026 ### What this is Waitkeep keeps a standing waitlist for a pro and a private position page for each person on it. It shows the pro's current order and the offers the pro makes. It does not book sessions, take payments or promise anyone a place: the pro decides the order and who is offered a slot, and is responsible for telling families about offers. Anyone who has a link can use it until the pro replaces it, so keep position links private. ### Names used Passkeys, browsers, calendar apps and booking tools are named descriptively. Waitkeep is not affiliated with any booking platform, tutoring agency, training franchise or grooming chain. ### Payments No paid plan is offered at present; if one is added, this page will describe it. ### Your content A pro owns their lists and is responsible for the details people give when they join, and for using them only to manage the list. A family can take their own name off a list at any time. A pro can download everything they own and delete their account at any time from the account page; the privacy page says exactly what is stored and for how long. ### Acceptable use Use a list for your own practice's waitlist. Do not collect a child's full name, date of birth or school, do not put anything unlawful or hateful in a list, do not join a list in someone else's name, do not try to guess links, and do not send requests at a rate that degrades the site for other people. ### Warranty and liability The site is provided as it is, without warranty of any kind, and runs within free hosting limits that can make it busy for a while. To the extent the law allows, Waitkeep is not liable for any loss arising from its use, including a change that was not saved, a missed offer or a link that was shared further than intended. ### Contact Questions and problem reports go to socialreminderinfo@gmail.com. --- # Free waitlist sign-up sheet and full poster, Waitkeep URL: https://waitkeep.com/printables/ Last reviewed: 2026-10-28 > Free printables for a waitlist: a sign-up sheet with 18 numbered rows and a We are full poster, as PDFs for A4 or US Letter, made in your browser. ## A waitlist sheet and a full poster to print Two free sheets for a waitlist on paper: a sign-up sheet with 18 numbered rows, and a poster saying you are full with room for your link.
